Rolling out HMO cover: how to make sure your team actually uses it

Buying the plan is half the job. Here is how to onboard staff so they register, pick the right hospital, and know what to do when they fall sick.

Many companies pay for an HMO that half their staff never use. Usually the plan is fine. The problem is that nobody explained how it works. A simple rollout fixes this.

Before cover starts

  • Collect staff details early. Names, dates of birth, phone numbers, photos and dependant details. Missing details are the most common cause of delays.
  • Help staff choose a primary hospital. Share the list and suggest they pick one close to home.
  • Name one contact person. Someone in HR who staff can ask, and who knows the HMO contact.

The briefing: 20 minutes that make the difference

Hold a short session, in person or on a call, and cover:

  1. What the plan covers, in simple words, with a few real examples.
  2. How to get care: go to your primary hospital, show your ID, and the hospital deals with the HMO.
  3. What to do in an emergency: go to the nearest hospital and call the HMO's line.
  4. How referrals work and what to do if a code is delayed.
  5. How to add dependants and by when.

Make it easy to find

  • Pin a one-page guide in your staff group chat and on the office noticeboard.
  • Save the HMO's phone number and email where everyone can find them.
  • Add the HMO to your new-hire onboarding checklist.

Keep checking in

Ask how things are going after the first month, then every quarter. Escalate problems to the HMO quickly. Staff trust the plan more when they see HR taking complaints seriously, and your notes will be very useful at renewal.
